Simplae ("Simplae," "we," "us," or "our") provides an AI-powered receptionist platform that helps small businesses answer customer messages, book appointments, qualify leads, and follow up automatically. This Privacy Policy explains what information we collect, how we use it, and the choices available to you when you visit our website or use our services.

By using Simplae, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use our website or services.

Information we collect

We collect information that you provide directly, that is generated through your use of the platform, and that we receive from integrated services you connect.

Information you provide

  • Name — when you request a demo, create an account, or contact us.
  • Business name — to configure your assistant and identify your organization in our system.
  • Email address — for account access, notifications, billing correspondence, and support.
  • Phone number — for SMS messaging, verification, go-live setup, and customer communication features.
  • Website URL — to understand your business and build knowledge for your AI assistant.
  • Business details — such as industry, location, service descriptions, FAQs, and assistant settings you choose to provide.

Information collected through the platform

  • Messages sent through the platform — including SMS and other messaging channel content between your customers and your AI assistant, along with related metadata such as timestamps, delivery status, and conversation identifiers.
  • Usage analytics — such as pages visited, features used, workflow activity, and product engagement metrics that help us operate and improve the service.
  • Device and browser information — such as IP address, browser type, operating system, referring URLs, and general location derived from IP address.
  • Payment and subscription information — billing status and transaction references processed by our payment provider. We do not store full payment card numbers on our servers.

We use cookies and similar technologies to keep you signed in, remember preferences, protect the platform, measure performance, and understand how visitors use our website.

AI processing of messages

Simplae uses artificial intelligence, including OpenAI when configured for your account, to generate responses, route conversations, execute workflows, and support scheduling, CRM, and payment actions you enable. When a customer sends a message through your connected channels, message content and relevant business context may be processed by AI systems and related automation tools to produce a reply or take an action on your behalf.

AI-generated outputs are probabilistic and may be inaccurate or incomplete. You are responsible for reviewing important communications and configuring your assistant, workflows, and integrations appropriately for your business.

How we use customer data

We use the information we collect to:

  • Provide, operate, maintain, and improve the Simplae platform.
  • Configure and run AI assistants, automations, and integrations you enable.
  • Send and receive messages on your behalf through connected SMS and email providers.
  • Process subscriptions, invoices, and account-related communications.
  • Provide customer support and respond to inquiries.
  • Monitor security, prevent abuse, and enforce our Terms of Service.
  • Analyze product usage and develop new features.
  • Comply with legal obligations and protect our rights.

We process personal information as needed to deliver the service under our agreement with you and, where applicable, based on legitimate interests in operating and improving Simplae, securing the platform, and supporting our customers.

Third-party service providers

We use trusted third-party providers to host, deliver, and support the platform. These providers process information on our behalf subject to contractual and security requirements appropriate to their role. We do not sell your personal information.

Providers Simplae uses to operate the service

  • Vercel — hosts the Simplae application, runs scheduled background jobs, and serves production infrastructure.
  • Managed PostgreSQL hosting — stores account, configuration, conversation, workflow, and operational data for the platform.
  • OpenAI — generates AI assistant responses and related automation when AI features are enabled and configured.
  • Twilio — sends and receives SMS messages on connected phone numbers.
  • Resend — delivers transactional and notification email when email delivery is enabled.
  • Stripe — processes Simplae subscription billing and, when you connect Stripe, payment actions configured for your business.
  • Google Analytics — measures public website usage, as described above.
  • Microsoft Clarity — analyzes website session behavior, as described above.
  • Upstash — provides optional Redis-based rate limiting and caching when configured for production environments.

Integrations you choose to connect

You may connect calendars, CRMs, payment tools, or other business systems to Simplae. Those providers process information according to your configuration and their own terms and privacy policies. We only share data with connected integrations that you authorize for your account.

Data retention

We retain information for as long as your account is active, as needed to provide the service, and as required to comply with legal, accounting, or reporting obligations. Conversation and message records may be retained to support inbox history, analytics, compliance, and dispute resolution unless deletion is requested and permitted by law.

Data security

We implement administrative, technical, and organizational measures designed to protect information against unauthorized access, loss, misuse, or alteration. These measures include access controls, encrypted transport where supported by providers, environment separation, and monitoring of production systems.

No method of transmission or storage is completely secure. While we work to protect your information, we cannot guarantee absolute security.

Your rights and choices

Depending on your location, you may have the right to:

  • Access personal information we hold about you.
  • Correct inaccurate or incomplete information.
  • Delete personal information, subject to legal and contractual limitations.
  • Object to or restrict certain processing where applicable law provides those rights.
  • Withdraw consent where processing is based on consent, without affecting the lawfulness of prior processing.

Business customers are generally responsible for providing appropriate notice to their end customers and honoring end-customer privacy requests related to messages handled through the platform. We will assist business customers with platform-related requests where reasonably possible.

International transfers

Simplae is operated from the United States. If you access the service from outside the United States, your information may be transferred to, stored in, and processed in the United States and other countries where our service providers operate.

Children's privacy

Simplae is intended for businesses and is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will take appropriate steps to delete it.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, provide additional notice. Your continued use of the service after changes become effective constitutes acceptance of the updated policy.
