Upload PDF documents
PDFs are ideal for structured information — menus, service catalogs, intake forms, and policy handouts. Upload them once and your assistant can answer detailed questions.

Best practices
- Use text-based PDFs when possible (exported from Word or Google Docs).
- Name files clearly:
2026-Spring-Menu.pdf, notscan001.pdf. - Remove outdated versions after uploading replacements.
Upload steps
- Go to Knowledge → Add source → PDF.
- Select your file (most portals allow up to several megabytes).
- Wait for processing.
- Review extracted text in the import review screen.
Scanned PDFs
Phone scans and faxed documents still work, but handwriting and low contrast reduce accuracy. Re-scan with good lighting or retype critical prices in manual editing.
Real-world example
A landscaping company uploads its seasonal maintenance packages PDF. Customers text "What's included in the gold plan?" and get a summary pulled from the document — plus a note to call for custom quotes on large properties.
If something looks wrong
Open fixing mistakes to edit or remove bad extractions. You can delete a PDF source entirely without affecting other knowledge.
